I’ve lost count of how many care home offices I’ve walked into where the compliance binders sit perfectly aligned.
Gathering dust.
They look authoritative. They signal to anyone walking past that the service is organised and prepared.
Then you pull one down.
The safeguarding policy hasn’t been reviewed in 18 months. The medication policy references outdated CQC guidance. The staff have never seen the documents because they are frozen in time.
The cost of looking right
Paper compliance trades entirely on appearance. If a binder looks complete, our instinct is to assume it is accurate.
It becomes a tick-box exercise. A way to satisfy a visual requirement without actually engaging with the substance.
The appearance of order hides the disorder.
When a policy is buried in a binder, it isn’t a live document. It’s a museum piece.
It doesn’t help a care assistant on a Tuesday afternoon. It doesn’t protect a registered manager during a spot inspection. It simply creates a false sense of security that crumbles the moment a regulator asks a question.
We’ve spent too long prioritising physical documentation over actual utility.
